ReGroup Australia is seeking a motivated and experienced Senior Fleet Coordinator to join our dynamic team based in Malaga, Perth. This role is Monday to Friday 7:30 AM starts to 3:30 PM.

Key Responsibilities: 

• Manage the end-to-end coordination of external hire processes, including quoting, contract finalisation, and purchase order administration.
• Allocate ReGroup owned earthmoving assets efficiently across internal projects and external customer requirements.
• Collaborate closely with project managers to plan plant requirements and maintain accurate Equipment Registers, ensuring all onboarding documentation is complete.
• Source and arrange third-party dry hire equipment when internal assets are unavailable, supporting both internal operations and external client needs.
• Handle procurement tasks, including raising purchase orders, reconciling supplier invoices with internal records, and processing transactions through Baseplan.
• Serve as the liaison between the Hire Desk and Workshop to prioritise equipment repairs and optimise availability.
• Lead end-of-month invoicing for external clients, ensuring accurate capture of hour meter readings, service records, and timely data entry into Baseplan.
• Collect and report end-of-month data for both hired and owned equipment across all active projects.
• Produce and present detailed utilisation reports, including; Real-time equipment utilisation snapshots, Monthly utilisation (e.g., days in use vs availability) and Underutilisation analysis.
• Lead daily operations meetings, providing up-to-date information on equipment breakdowns, hire activity, project needs, and logistics planning.
• Maintain real-time visibility of plant availability and repair status using internal forecasting and planning tools.
• Liaise directly with Baseplan support to identify and resolve system issues, implement updates, and improve functionality.

About You:

• 3+ years in equipment hire coordination, preferably within mining, civil, or heavy industry.
• Advanced understanding of dry hire plant operations, EOM processes, and asset utilisation reporting.
• Demonstrated experience working with Baseplan (or similar ERP systems) in a technical and operational capacity.
• Exceptional attention to detail, organisational skills, and ability to operate autonomously in a fast-paced environment.
• Strong communication skills — able to confidently lead meetings and interface with stakeholders from the yard to the boardroom.
• Solution-focused, with a passion for improving systems, streamlining processes, and driving results.
